Treat meeting rooms as operating infrastructure, not an hourly commodity. Choose by client geography, building access, reception, privacy, AV reliability, setup/overrun policy and backup capacity—especially when the company does not yet have a permanent Brazil office.
Start with the meeting purpose and guest map
A board session, customer workshop, interview day and distributor meeting need different room sizes, layouts and privacy. Put the guest list and where people are coming from before the address prestige.
Audit the visitor experience before price
Confirm reception instructions, ID/access rules, elevator access, waiting area, restroom access, hospitality, signage and who solves problems on site. A cheap room can become expensive when a senior visitor cannot enter smoothly.
Specify AV, privacy and room control
Confirm display inputs, camera and microphone quality, internet backup, power, whiteboard, acoustic privacy and whether the room can be held before/after the booked slot. Test critical equipment for executive or customer-facing meetings.
Price the full meeting package and a backup
Compare room fee, minimum hours, extensions, catering, visitor charges, printing, after-hours access and cancellation. For important meetings, pre-identify a nearby backup room rather than relying on one booking.
